We accelerated a complex Microsoft 365 email migration for a major Australian dairy organisation, moving 1,300 users across a distributed workforce whilst maintaining operational continuity and improving long-term supportability.

The Challenge

One of Australia’s largest dairy companies needed to migrate 1,300 users from a complex on-premises email environment to Microsoft 365, within a tenant managed by an international parent. The program had stalled due to resourcing, and the legacy stack was becoming a risk: ageing Exchange servers, an unsupported archive platform and complex permissions across a distributed workforce. With nearly 30 sites involved, the migration needed to stay predictable for users, minimise disruption, and still meet an aggressive timeline.

Our Approach

We were engaged to unblock the program and take accountability for the migration end to end. That meant setting a clear plan, running daily migration waves, and resolving compatibility issues quickly without trading off governance. We designed a pragmatic approach to archiving, restoring only what was needed to manage mailbox sizing and keep progress on track, including tailored planning for VIP users. We maintained clear communications, controlled change windows and steady execution to keep operations moving.

The Outcome

The organisation transitioned from on-premises Exchange to Microsoft 365 with minimal interruption. The move removed reliance on ageing infrastructure and legacy archiving tools, improving resilience and long-term supportability. Users gained better access to mailbox history, with targeted archive restoration where required, and IT gained a scalable platform that is simpler to manage and grow. The result was a modern email foundation that reduced operational risk and created headroom for future improvements across a national footprint.
